Rologram Terms of Service
Last Updated: October 20, 2026
Effective Date: November 19, 2026
These Terms explain your rights and responsibilities when using Rologram. Section 5 covers artificial intelligence features. Section 17 includes binding individual arbitration, class action and jury trial waivers, and a 30-day opt-out, subject to the consumer protections described there.
1. Agreement and parties
These Terms of Service ("Terms") are an agreement between you and Arc Labs LLC ("Arc Labs," "we," "us," or "our") for Rologram and the services described below (the "Service"). By accepting these Terms or using the Service, you agree to them. If you do not agree, do not use the Service. If you act for an organization, "you" includes that organization, and you must have authority to bind it.
Our End User License Agreement ("EULA") and Privacy Policy are incorporated into these Terms. The applicable Apple App Store or Google Play terms also apply to apps and purchases obtained through those stores.
Mandatory law and mandatory app store requirements take priority. A separate agreement signed by Arc Labs and your organization, including an order form or data processing agreement, controls for the subjects it expressly covers. The Privacy Policy controls statements about our processing of personal information. These Terms control any other conflict with the EULA; the EULA supplies the app license terms. Store terms govern your relationship with the relevant store.
2. The Service
Rologram includes our iOS and Android apps, the web app at app.rologram.ai, shared card pages, and the marketing site at rologram.ai. The Service lets you create and share digital business cards, scan and organize cards you collect, maintain notes and follow-ups, use optional AI features, and work with teams and connected integrations. Features vary by platform and plan.
You control whether your card is public. A public shared card page displays your name, title, company, and a masked email address; the downloadable vCard includes your full email address. Share only details you have the right to make available. The Privacy Policy explains visitor information collected for card-view counts.
3. Eligibility and accounts
You must be at least 13 to use the Service. In the European Economic Area or United Kingdom, you must be at least 16, unless your country's applicable digital-consent age is lower, and never younger than 13. You must also satisfy any higher minimum age required by local law. If you have not reached the age of legal majority where you live, a parent or guardian must agree to these Terms and supervise your use.
Some features require an account; visiting a shared card page does not. Provide accurate account information, keep it current, protect your credentials, and notify support@rologram.ai promptly if you suspect unauthorized access. You are responsible for activity you authorize and for taking reasonable steps to secure your account. Do not impersonate another person, share individual sign-in credentials, or use an account without permission.
An organization may provide or manage your access. Its administrators may control your membership and access to team data as described in Section 8.
4. Subscriptions and purchases
The Service offers free and paid features. The purchase screen identifies the price, billing period, trial terms, and applicable taxes before you subscribe. Free-tier features and limits may change; material changes are subject to Section 18 and applicable law.
For purchases through Apple or Google, the store charges your selected payment method under its terms. Subscriptions automatically renew unless you cancel through the store before its renewal deadline. Manage Apple subscriptions in your Apple account settings and Google Play subscriptions in Google Play's subscription settings. Deleting the app or your Rologram account does not cancel a store subscription.
Trials, if offered, convert to paid subscriptions unless canceled by the deadline shown at purchase. Cancellation generally takes effect at the end of the paid billing period; trial access and refund eligibility follow the store's terms and applicable law. Request store purchase refunds through the store's refund process. These Terms do not restrict statutory refund or cancellation rights.
Organization subscriptions are billed through Stripe under the organization's order form, which sets its fees, billing schedule, renewal, cancellation, and payment obligations. We provide advance notice of subscription price changes and obtain any consent required by law or store rules before charging a new price. You may cancel before the change takes effect.
5. Artificial intelligence features
5.1 Features and processing
Rologram labels its AI features, including AI enhancement of scanned card text, follow-up drafting, notes clean-up, tag suggestions, contact enrichment, card design, organization card template generation, and CSV column mapping. These features are optional. Avoid activating them if you do not want their processing.
Server AI features send the information needed for the requested task through Arc Labs servers to OpenRouter and the third-party model provider it routes to. Contact enrichment also queries public sources through our servers: Wikipedia, SEC EDGAR, Crunchbase, NewsAPI, and Reddit. Enrichment adds information about people and companies; it does not verify their identity or endorse them.
On supported iOS devices, notes clean-up can use Apple Intelligence on the device. Server notes processing is used only when the on-device model is unavailable and you have allowed server processing in Settings; its results are labeled "Enhanced with server AI." Voice transcription uses Apple Speech on the device, and audio is never uploaded. On-device Apple processing is subject to Apple's terms. You can select on-device-only processing in Settings → Voice notes. Section 3 of the Privacy Policy describes each feature's inputs and processing in more detail.
5.2 Review outputs before using them
AI outputs are generated by machine learning models. They may be inaccurate, incomplete, biased, or similar to outputs received by other users. They are not legal, financial, medical, employment, or other professional advice. You must review outputs before relying on, saving, sharing, or sending them, including checking contact details, factual statements, and whether you have permission to use them. Do not treat an AI result as a verified fact or a substitute for qualified professional judgment.
5.3 Messages and outreach
You are responsible for messages you send, including AI-generated drafts, and for choosing their recipients. Having someone's business card or finding their details through enrichment does not itself give you permission to contact them for every purpose. Your outreach must comply with applicable anti-spam, telemarketing, and privacy laws, including CAN-SPAM, the TCPA, the GDPR, ePrivacy rules, and local equivalents. Obtain required consents, provide required notices and opt-outs, and honor requests to stop contact.
5.4 Inputs, outputs, and processing rights
As between you and Arc Labs, you retain ownership of your inputs and own the outputs you receive, to the extent ownership rights exist under applicable law. We assign to you any rights we may have in those outputs. This does not give you rights in another person's information or intellectual property, make outputs exclusive, or change an organization's rights in its team data under Section 8.
You grant Arc Labs the limited license in Section 6 to process inputs and outputs to provide the Service, including through the providers described in the Privacy Policy. We do not use your content or AI results to train or improve AI models.
5.5 Prohibited AI uses
You may not use AI features to extract model weights or hidden system prompts, bypass safeguards or jailbreak models, generate unlawful, defamatory, or discriminatory content, profile people for unlawful purposes, carry out automated bulk use, or use outputs to build or train competing AI models. These restrictions do not limit rights that applicable law makes nonwaivable.
5.6 Availability and automated scores
AI features depend on third-party providers, quotas, regional availability, and device capabilities. We may change or withdraw them, subject to paid-plan commitments and mandatory consumer rights. A particular model or result is not promised.
Lead health, priority, and ideal customer profile match scores use deterministic calculations from interaction dates, stages, and your profile criteria, rather than a large language model. These scores are suggestions only and do not make decisions with legal or similarly significant effects. You decide what action to take. You can turn them off in Settings → Lead intelligence.
6. Your content and other people's data
You retain the rights you hold in content you provide, including your card, collected cards and card photos, notes, tags, and follow-ups. You grant Arc Labs a worldwide, nonexclusive, royalty-free license to host, store, reproduce, process, and display that content only to provide the Service and carry out your directions, including sharing cards, team collaboration, integrations, and requested AI processing. We may allow service providers to exercise those rights only to perform those tasks for us. The license lasts while needed for those purposes and the retention periods described in the Privacy Policy.
You decide whose cards and information to collect. You are responsible for having a lawful basis and the necessary rights to collect, scan, upload, process, enrich, and share them, providing required notices, obtaining consent when required, and honoring applicable access, correction, deletion, and objection requests from those people. Public availability of information does not remove those responsibilities. Arc Labs processes collected contact information to provide the Service. People whose details are included may contact support@rologram.ai to request deletion.
Do not provide content that is unlawful, infringing, defamatory, threatening, harassing, deceptively impersonates someone, violates privacy rights, or contains malicious code. We may remove or restrict content that violates these Terms, with notice where practicable and as required by law.
7. Acceptable use
Use the Service only as permitted by these Terms and applicable law. You may not:
- Scrape or harvest the Service, shared card pages, or other users' information, or use bots to collect it.
- Reverse engineer, decompile, or attempt to obtain the Service's source code, except where applicable law permits this despite the restriction.
- Abuse shared card pages for impersonation, phishing, spam, harassment, or unauthorized tracking.
- Circumvent quotas, access controls, subscription requirements, or security measures, including by creating accounts to evade limits.
- Interfere with the Service, introduce malicious code, access another person's account or data without authority, or overload our infrastructure.
- Resell, sublicense, or commercially redistribute access to the Service without our written agreement.
Authorized use of organization API keys and integrations within their documented scope is permitted; it does not authorize prohibited bulk AI use or quota circumvention.
8. Teams and organizations
An administrator who accepts these Terms or an order form for an organization represents that they have authority to bind it. The organization is responsible for its members' authorized use, internal permissions, and required notices to members and contacts.
As between Arc Labs and the organization, the organization owns its shared team pool data, subject to individuals' privacy rights and any rights of third parties. Administrators can access shared pool cards, team notes, member lists, audit logs, integrations, and exports. Do not place information in a team space unless you are authorized to share it with the organization.
The organization is the controller of its team data; Arc Labs processes that data on its instructions. A data processing agreement is available on request. Leaving a team or deleting your individual account does not necessarily delete data held for the organization. Contact its administrator about that data and your access.
Organizations must protect API keys, limit access to authorized users and systems, and revoke compromised credentials. When an authorized administrator connects HubSpot or Salesforce, the organization authorizes the associated data transfers and processing needed for that integration. The connected service's terms also apply.
9. Third-party services and links
The Service uses or links to third-party services, including hosting, AI providers, public information sources, app stores, payment processors, and optional integrations. Their applicable terms govern your direct use of them. You are responsible for reviewing those terms and authorizing connections you make.
We do not control third-party websites, independent services, or public-source content. Their availability and content may change. This does not remove our responsibilities for our own processing, contractual commitments, or obligations under applicable law.
10. Intellectual property and feedback
Arc Labs and its licensors retain ownership of the Service's software, designs, trademarks, and other intellectual property. Your rights in your content and AI outputs are described in Sections 5, 6, and 8. The EULA grants the limited app license; no other rights in our intellectual property are granted. Do not use our trademarks in a way that implies endorsement without permission.
If you voluntarily provide suggestions or feedback, you grant us a perpetual, irrevocable, worldwide, nonexclusive, royalty-free license to use, reproduce, modify, and incorporate that feedback into the Service and to allow others to do so for us, without payment or attribution. This feedback license does not expand our rights to train AI models on your content or results.
11. Beta features
We may identify features as beta, preview, or experimental. They may be incomplete, change, or be discontinued, and may not work reliably. Review their results and maintain copies of important information. Any additional beta terms will be presented with the feature. Mandatory consumer rights and our Privacy Policy still apply.
12. Privacy
The Privacy Policy forms part of these Terms and explains what information we process, why, with whom we share it, retention, and your rights and choices. It covers AI processing, collected contacts, shared card visitors, and organization data. You can export data through Settings → Export and manage data, and request privacy assistance at support@rologram.ai with "Privacy Request" in the subject.
13. Disclaimers
To the extent permitted by law, the Service is provided "AS IS" and "AS AVAILABLE," without express or implied warranties, including warranties of merchantability, fitness for a particular purpose, title, and noninfringement. We do not promise uninterrupted or error-free operation or that the Service will meet every requirement.
We do not warrant the accuracy, completeness, or reliability of OCR, AI outputs, enriched contact information, or automated scores. AI results can be inaccurate, incomplete, or biased and are not professional advice. You must review them before use. We do not independently verify every card or public source.
Some jurisdictions do not allow particular warranty exclusions. Those exclusions apply only to the extent lawful and do not displace mandatory rights, remedies, or obligations to provide the Service with reasonable care and skill.
14. Limitation of liability
To the extent permitted by law, Arc Labs and its officers, employees, and agents are not liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or loss of profits, revenue, business opportunities, goodwill, or data arising from the Service or these Terms.
To the extent permitted by law, our total aggregate liability arising from or relating to the Service, these Terms, and the EULA is limited to the greater of the amounts you paid Arc Labs for the Service in the 12 months before the claim or USD 100. Payments for the Service through Apple, Google, or Stripe count toward that amount.
These exclusions and the cap do not apply to fraud, fraudulent misrepresentation, willful misconduct, gross negligence, death or personal injury caused by negligence, or any other liability that cannot lawfully be excluded or limited. Consumer-law rights remain in force. In particular, EU and UK consumers' statutory rights and remedies are unaffected, including rights concerning digital content and services. Where an exclusion or limit is not permitted, it does not apply to you.
15. Indemnification
To the extent permitted by law, you agree to defend, indemnify, and hold harmless Arc Labs and its officers, employees, and agents against third-party claims and reasonable associated losses and legal expenses caused by your unlawful use of the Service, content that violates another person's rights, or breach of these Terms. This obligation excludes claims to the extent caused by our breach of these Terms, negligence, or misconduct.
We will notify you promptly of a covered claim, provide reasonable cooperation at your expense, and allow you to control its defense with competent counsel. You may not settle a claim in a way that requires us to admit fault, pay money, or undertake obligations without our written consent, which we will not unreasonably withhold. This section does not impose an obligation prohibited by mandatory consumer law.
16. Termination
You may stop using the Service at any time and delete your account in Settings → Delete account or contact support@rologram.ai for help. Cancel any store subscription separately as described in Section 4. Organization billing and termination follow the applicable order form.
We may suspend or terminate access for a material breach of these Terms, unlawful activity, or a security risk. Where practicable, we will give notice, explain the reason, and provide a reasonable opportunity to correct a remediable breach. Immediate action may be necessary to protect people or the Service or comply with law. Mandatory notice and refund rights continue to apply.
On termination, your right to access the Service and use the app ends. Stop using the app and delete your copies. Data deletion and retained records follow the Privacy Policy, including deletion within 30 days and backups retained for up to 90 days, subject to lawful retention requirements and organization-controlled data. Export information you need before closing your account.
Accrued payment obligations and provisions that by their nature continue survive termination, including ownership, the limited license for permitted retention, feedback, disclaimers, liability limits, indemnification, dispute resolution, and general terms.
17. Governing law and dispute resolution
17.1 Governing law and consumer protections
California law governs these Terms and the EULA, without applying conflict-of-law rules, except that the Federal Arbitration Act governs the arbitration agreement where applicable. This choice does not deprive consumers of mandatory protections under the law of their place of residence. Section 17.7 explains when the dispute procedures below do not apply.
17.2 Informal resolution
Before starting arbitration, either party must give written notice describing the dispute, relevant facts, the requested resolution, and contact information. Send your notice to support@rologram.ai with "Dispute" in the subject. We will send ours to the email address associated with your account, or another contact address you provide. Both parties will try in good faith to resolve the dispute for 60 days after receipt of notice.
Applicable limitation periods are suspended during that 60-day period to the extent permitted by law. This process does not prevent small-claims proceedings, urgent relief under Section 17.4, or a filing needed to preserve a nonwaivable right or deadline.
17.3 Binding individual arbitration and fees
Except for the exclusions below or a timely opt-out, you and Arc Labs agree that disputes arising from or relating to the Service, these Terms, or the EULA will be resolved by binding individual arbitration administered by the American Arbitration Association ("AAA") under its Consumer Arbitration Rules. The AAA consumer dispute resolution page provides rules and filing information. Applicable AAA Mass Arbitration Supplementary Rules also apply, subject to the consumer protections and scheduling procedure in Section 17.6.
The arbitration will have its seat in the county of your residence. At your choice, any hearing will take place there or by video; a documents-only procedure may be used where the rules permit. A neutral arbitrator may award the individual relief available under applicable law and will issue a written decision. A court with jurisdiction may enter judgment on the award. A court decides disputes about the formation or enforceability of this arbitration agreement and its waivers.
For consumers, Arc Labs pays any filing fees above USD 250 and the administrative and arbitrator fees allocated to the business under AAA rules. You will not pay more than any lower consumer fee cap or waiver required by AAA rules or law. Each party bears its own legal costs unless applicable law or the arbitrator's award provides otherwise. These provisions do not limit statutory fee-shifting rights.
If AAA declines or is unable to administer a dispute, and the parties cannot agree on a lawful alternative, either party may bring the claim in a court with jurisdiction. Nothing in this agreement excuses payment of arbitration fees when due.
17.4 Small claims, urgent relief, and waivers
Either party may bring an individual claim within a small-claims court's jurisdiction. Either party may also seek injunctive relief in a court with jurisdiction to prevent misuse of intellectual property, without waiving arbitration of other covered claims. You may report concerns to government agencies and pursue remedies that cannot lawfully be waived.
For disputes subject to arbitration, you and Arc Labs waive trial by jury and agree to proceed individually, not as a class, collective, or representative action. An arbitrator may not combine claims or grant relief for anyone other than the individual parties, except for administrative coordination under Section 17.6. These waivers apply only as permitted by law. They do not waive a right to seek public injunctive relief where that right cannot be waived.
If the class action waiver is unenforceable for a particular claim or request for relief, that claim or request proceeds in court, and the remaining claims remain subject to arbitration to the extent lawful. No provision authorizes class arbitration. If another part of this arbitration agreement is unenforceable, it is severed to the extent possible without denying mandatory rights.
17.5 Your 30-day right to opt out
You may opt out of arbitration and its related class action and jury trial waivers by emailing support@rologram.ai with "Arbitration Opt-Out" in the subject within 30 days after you first accept these Terms. Include your name, account email address if you have one, and a clear statement that you opt out. No reason is required, and opting out does not affect your access to the Service.
If you opt out, neither you nor Arc Labs is bound by the arbitration agreement or its related waivers, and disputes may be brought in a court with jurisdiction. The rest of these Terms remains in effect. A valid opt-out continues to apply to later versions unless you expressly agree otherwise.
17.6 Mass-arbitration protocol
If 50 or more substantially similar individual claims against Arc Labs are brought with coordinated representation, the parties will ask AAA to administer them in batches of 50, with a smaller final batch if necessary. Each claim remains an individual proceeding with an individual decision. Batching coordinates administration and scheduling only; it does not combine claims or determine another person's rights.
The first batch will serve as bellwether cases: claimants select 25 cases and Arc Labs selects 25 different cases. AAA resolves any selection dispute and may adjust the selections to ensure fair representation. After those cases are decided, the parties will participate in a settlement conference or voluntary mediation for up to 30 days. Unresolved claims then proceed in further batches of 50. Bellwether results bind only the parties to those cases and do not require any other claimant to settle.
All claimants may file their demands without waiting for an earlier batch to finish. Limitation periods for each notified claim are tolled from receipt of the informal dispute notice through the informal process, any batching or mediation wait, and the conclusion of that claimant's proceeding, to the extent permitted by law. AAA may run batches concurrently or change the schedule to prevent undue delay, comply with its rules, or protect due process. Applicable filing and payment deadlines remain in effect, and Section 17.3's consumer fee protections apply to every claimant. If a batching provision cannot lawfully be applied, the individual claims proceed under AAA rules without that provision.
17.7 Consumers outside the United States
If you live in the EU or UK, or another jurisdiction whose mandatory consumer law forbids pre-dispute arbitration, Sections 17.2 through 17.6 do not apply to you. You may bring claims in your local courts and retain all mandatory consumer rights. We may bring claims against you only in courts permitted by applicable law.
EU consumers can find information about out-of-court dispute resolution through the European Commission's consumer redress resources. The former EU Online Dispute Resolution platform closed on July 20, 2025 and is no longer available.
18. Changes to the Terms
We may update these Terms as the Service or legal requirements change. We will provide at least 30 days' notice of material changes through the app, website, or your account email before they take effect, and update the dates above. Changes do not retroactively alter an existing dispute or a valid arbitration opt-out.
Continuing to use the Service after the effective date means you accept the updated Terms, except where law requires express consent. If you disagree, stop using the Service, cancel subscriptions, and, if you choose, export your data and delete your account. Mandatory cancellation and refund rights remain available.
19. Apple- and Google-specific terms
19.1 Apple App Store
For the iOS app, this agreement is between you and Arc Labs, and Arc Labs is responsible for the app and its content. Apple is not a party. Your license is nontransferable and permits use on Apple-branded products you own or control in accordance with the usage rules in the Apple Media Services Terms. Access through Family Sharing or volume purchasing is permitted where those rules allow it.
Arc Labs provides app maintenance and support required by our agreements or law. Apple has no duty to provide it. If the app fails to meet an applicable warranty, you may notify Apple for a refund of the app purchase price. To the extent permitted by law, Apple's warranty obligations end with that refund; Arc Labs remains responsible for other warranty obligations and resulting claims that are not lawfully excluded.
Arc Labs is responsible for addressing product liability, legal compliance, consumer protection, privacy, and other claims relating to the app or its use. Arc Labs also handles the investigation, defense, settlement, and resolution of third-party claims that the app or your permitted use infringes intellectual property rights.
You represent that you are not in a country subject to a US government embargo or designated by the US government as supporting terrorism, and that you are not on a US government list of prohibited or restricted parties. You must comply with applicable third-party agreements, including your wireless service terms.
Apple and its subsidiaries are third-party beneficiaries of the EULA and these Apple-specific terms. Upon your acceptance, Apple may enforce them against you as a third-party beneficiary. Direct questions, complaints, support requests, and app claims to Arc Labs LLC at support@rologram.ai.
19.2 Google Play
For the Android app, Arc Labs provides the app license, app support, maintenance, and responsibility for app-related claims. Your use of Google Play and purchases through it are also subject to the Google Play Terms of Service. Google is responsible for its own store services under those terms; it is not a party to this app license agreement.
Use the app only on devices and through accounts permitted by Google Play's usage rules. Google Play handles billing, subscription management, and refund requests for purchases made there under its policies and applicable law. Direct app questions, warranty concerns, and product or intellectual property claims to Arc Labs at support@rologram.ai. Comply with applicable third-party service agreements and the legal and export requirements in Section 20. Nothing here limits Google's obligations under its own terms or mandatory consumer rights.
20. General
Assignment. You may not transfer these Terms or your account without our written consent, except as applicable law permits. We may transfer these Terms with a merger, acquisition, or transfer of the Service, with notice where required and without reducing your mandatory rights.
Waiver and severability. A failure to enforce a provision is not a waiver. If a provision is unenforceable, the remaining provisions continue, subject to the specific arbitration and class-waiver rules in Section 17.
Notices. We may provide notices through the Service, our website, or your account email. Keep that email current. Send notices to support@rologram.ai, using the subject specified in Section 17 for disputes or arbitration opt-outs.
Entire agreement. These Terms, the EULA, the Privacy Policy, and any applicable signed organization agreement form the agreement between you and Arc Labs concerning the Service and replace prior agreements on those subjects. The priority rules in Section 1 apply. Except for Apple as stated in Section 19, these agreements do not grant enforcement rights to third parties unless law requires otherwise.
Export controls. Comply with applicable US and other export, re-export, and sanctions laws. Do not access, export, or transfer the Service in violation of those laws or use it for prohibited end uses.
US government users. The app and its documentation are commercial computer software and documentation. Government users receive only the rights granted under these Terms and the EULA, subject to applicable procurement law.
Force majeure. Neither party is responsible for delays caused by events beyond its reasonable control, such as natural disasters, war, or widespread infrastructure outages, while taking reasonable steps to reduce their effects. This does not remove payment obligations already due, duties imposed by mandatory law, or consumer cancellation and refund rights.
Language. These Terms are written in American English. If a translation differs, the English version controls unless mandatory local law requires otherwise.
